Reports to: Executive Director
Schedule: Monday–Friday, 9:00 am–5:00 pm
Location: Hanover, NH
Status: Full-Time, Onsite
The Administrative Coordinator plays an essential role in supporting the daily operations of the
guesthouse through administrative coordination, guest support, volunteer communication, and
office organization. This position works closely with the Executive Director to help maintain smooth
operations and a compassionate guest experience. As Maynard House continues to evaluate
operational needs and future staffing structure, some responsibilities within this role may evolve
over time. We are seeking someone who is adaptable, collaborative, and interested in supporting a
mission-driven organization in a variety of administrative and guest-support functions.
Core Responsibilities:
Administrative Operations & Guest Support

Manage guest inquiries, reservations, and intake processes

Serve as a welcoming point of contact for guests and families

Maintain accurate guest records and scheduling systems

Coordinate housekeeping schedules and track supply inventory

Support smooth day-to-day operations by identifying and communicating needs to leadership

Organizational & Office Support

Provide administrative support to the Executive Director

Maintain calendars, files, and internal documentation

Prepare basic materials for meetings, including agendas and notes

Support coordination of volunteers, including scheduling and communication

Help maintain organized and efficient office systems
Financial & Data Entry Support:

Assist with data entry for accounts payable/receivable

Maintain organized financial records and receipts

Support donation entry and database updates

Assist with basic budget tracking and reporting preparation
Communications Support:

Assist with updates to the website and social media platforms

Support email communications and newsletters

Help maintain contact lists and mailing databases

Gather stories or updates to support organizational communications

Board & Community Support

Assist with preparation of Board meeting materials

Support logistics for small events and meetings

Provide administrative follow-up with community contacts as needed
Qualifications:
Education & Experience:
-
Associate or bachelor’s degree preferred, or equivalent experience
-
2–3 years of administrative, office, or hospitality experience

Strong organizational skills and attention to detail

Ability to manage multiple tasks and follow through reliably

Warm, professional interpersonal skills with diverse populations

Clear written and verbal communication skills

Comfort with routine systems, data entry, and process-oriented work

High level of integrity and ability to maintain confidentiality

Proficiency with Microsoft Office (or similar tools) and willingness to learn new systems
Position Details:

Job Type: Full-Time
Compensation:
-
$23/hour (approximately $47,840 annually)
-
$300/month healthcare stipend ($3,600 annually)

Ability to lift up to 50 pounds

Ability to climb stairs and assist with light housekeeping tasks as needed
